Customer Planning 101: The Timeline You’ll Need to Stay on Schedule

It’s always exciting when you have a new piece of equipment, software, or update to improve operations. What’s not so exciting is having to wait to use it. While ASPYRA is happy to help you go live as soon as possible, we also want to assist you as effectively as we can. To do this, we take time to complete a methodical process to ensure successful integration with our systems. Let’s go through this process to understand the timeframe you can expect and how far in advance you’ll need to reach out. This way, we can work together to integrate your improvements on schedule.

 

How the Process Works

  1. You’ll send a request to our customer support 
  2. Once we receive your request, an Operations Manager will complete an evaluation form. If development is required, the evaluation will be routed to a developer. If not, the completed form will detail what needs to be done and how long it will take. 
  3. The evaluation is then returned to a Sales Administrator who will prepare a proposal highlighting the scope of work.  
  4. The proposal is sent to an executive who will either: 
    • Approve the proposal and forward it to you 
    • Reject the proposal and send it back to the point of rejection for reworking.

In total, the completion of a project takes roughly 8 to 12 weeks. Therefore, you’ll want to make sure ASPYRA has plenty of time to complete the process if you have a projected start date for integration. Once you’ve signed the agreement and put down the required deposit, we’ll schedule a commencement date and allocate the required resources for the project.

 

FASTtracking 

In the event you need to expedite your project, you can speak to your Sales Representative about applying for FASTtrack availability. How does this work? Our CARE team will determine if there are any openings based on the current priority of CAREcritical projects and other FASTtrack orders. If your application is accepted, you’ll receive an offer with the slots available for service and their associated expediting fees. These fees vary depending on how quick the turnaround is and if development is required. Standard FASTtrack upcharge fees are as follows: 

If Only Configuration and Testing are required: 

  • 2 to 3 weeks – 60% of the cost of the project 
  • 4 to 5 weeks – 40% of the cost of the project 
  • 6 to 7 weeks – 20% of the cost of the project 
  • 8 to 9 weeks – Standard Pricing with no upcharge 

If Development, Configuration and Testing is required: 

  • 3 to 4 weeks – 80% of the cost of the project 
  • 5 to 6 weeks – 60% of the cost of the project 
  • 7 to 8 weeks – 40% of the cost of the project 
  • 9 to 10 weeks – 20% of the cost of the project 
  • 11 to 12 weeks – Standard Pricing with no upcharge
